Recent Australian reporting on cyber resilience and privacy reform has put smaller businesses back in the frame, including health, wellbeing and fitness operators that collect personal information as part of everyday service delivery.
For personal trainers, this is not just a technology issue.
It is increasingly a business risk, a compliance concern and an insurance question.

Many trainers now hold more sensitive information than they may realise. Pre-exercise screening forms, injury histories, medical limitations, progress photos, payment details, direct messages, nutrition notes and app-based session records can all create exposure if they are lost, accessed without permission or shared inappropriately. A solo trainer using a phone, laptop and cloud booking platform may not look like a high-risk digital business, but the information being handled can still be highly personal.

The insurance lesson is that traditional cover may not respond in the way a trainer expects. Public liability insurance is designed around third party injury or property damage, not a privacy incident. Professional indemnity insurance may assist with allegations linked to professional advice or service failures, but it will not automatically cover the technical and response costs of a cyber event. A separate cyber policy, or a cyber extension within a business package, may be needed for expenses such as forensic support, client notification, legal guidance, data restoration and incident response.

This matters because a data incident can interrupt sessions, damage trust and absorb time that would otherwise be spent training clients. Even a simple lost device or compromised email account can become expensive if it contains client health information or allows fraudulent payment requests to be sent from a business account.

Trainers may wish to use this latest focus on privacy and cyber risk as a prompt to review three practical areas:

  • What client information is collected, where it is stored and whether it is still needed.
  • Whether booking systems, fitness apps and payment platforms use multi-factor authentication and strong access controls.
  • Whether current insurance policy wording clearly addresses cyber incidents, privacy complaints and digital business interruption.

For mobile trainers, online coaches and small studio owners, the key is to avoid treating digital risk as separate from normal business risk. If your service model has changed, your data practices and insurance arrangements may need to change with it. Checking exclusions, limits and incident response support can make the difference between a manageable disruption and a costly business setback when finding suitable cover.
